Job Description
Project Assistant
November 2019On behalf of our client, an international organization based in Tirana and operating in Albania, we are searching for a Project Assistant.
Role:
The Project Assistant will provide support to the organisation in administrative (70%) and financial (30%) tasks.
Responsibilities:
Administrative and Logistics Responsibilities (70% of workload)
– Responsible for managing the office and coordination of activities from the administration and logistics point of view, managing logistic and maintenance staff.
– Responsible for compilation and documentation of products and services; prepare protocols of key meetings in Albanian or English, maintain filing system (hardcopies, e- based).
– Responsible for customer support: assure correspondence with public and state entities, maintain clientsÂ’ database
– Support Communication Officer and assure in case of absence, continued information supply through web, social media, etc.
– Support the management in the preparation of reports (data gathering, visualisation, proofreading and formatting).
– Administrate human resource matters (declarations, time- control, safety and security).
– Provide translations from Albanian to English and vice versa.
– Coordinate IT support within the organisation (national and international);
Financial Responsibilities (30% of workload)
– Responsible for petty cash, purchase bookand documentation of procurement procedures.Settle financial aspects of travels and logistics.
– Support the finance manager in payment processes; contract management including control of partners financial reports.
Requirements:
University degree
– 3-5 years of similar experience in the position
– Outstanding communication and presentation skills in Albanian and English
– Energetic and results-driven approach
– Creativity and strong attention to details
– Ability to work independently and as part of a larger team
The Office assistant will report to the Organisation Management.
